Position Overview

The Account Receivable Officer is responsible for the accurate processing and posting of all payments and charges, ensuring prompt billing and collection of all account receivable items. The individual also maintains proper credit procedures throughout the resort in accordance with both local and the resort's policies and procedures.

 

The Role

  • Process and post all charges and payments to Credit Card and City Ledger Accounts (e.g. Travel Agency and Corporate) daily. Ensures prompt and accurate billing for all accounts and timely collection follow-up.
  • Prepare and maintain filing records for all outstanding accounts as directed by Director of Finance, ensuring that all sensitive information is properly safeguarded.
  • Maintain credit histories, original approved written requests for credit and other records for regular resort's accounts.

Prepare the daily Cheque Received Report (CRR) for all TT and cheques received. Identify and highlight any discrepancies immediately to the Director of Finance.

  • Create AR accounts based on the Daily Event list on a daily basis.
  • Review with the Director of Finance on all accounts which are over 30 days and implement collection procedures for all such accounts in accordance with established corporate guidelines.
  • Prepare month-end reports and reconciliations as prescribed by policies and procedures for all receivable accounts including credit cards.
  • Identify and resolve any discrepancies in billing payments and other potential problems.
  • Ensure that all inquiries from guests or credit card companies are handled promptly (same day if possible, if not before the timeline given by the banks/credit card companies) and professionally.
  • Answer guest and credit card inquiries concerning accounts including the documentation and preparation of adjustments if necessary, on a timely basis.
  • Monitor the safeguarding of the resort's assets by reviewing resort credits issued by both Rooms division and Food & Beverage and ascertaining the business purpose of such credits and proper manager approval.
  • Perform CC Merchant machine audit on a monthly basis and report to Director of Finance
  • Maintain the refund register and copy of supporting documents for all refunds
  • Prepare the monthly Credit Meeting minutes and circulate with attendees.
  • Perform credit review all Credit travel agents on a quarterly basis.
  • Attend weekly AR meeting with Director of Finance and highlight any potential issues.
  • Build strong relations with all guests, noting special attention to the resort's VIPs and return guests to ensure long lasting guest loyalty.
  • Handle and report any complaints and resolving service 'glitches', keep a record of all feedbacks under the appropriate system. Ensure that the issues are resolved in a timely manner to guests' satisfaction.
  • Report any issue or damages and breakdowns within working areas and the resort to ensure a defect-free facilities and service amenities provided.
  • Maintain strong working relationships with other departments to ensure effective communications for operational issues, serves as a role model for inter-departmental collaboration and support.
  • Perform other duties or responsibilities that are reasonable as assigned by your immediate supervisor or manager.

 

Talent Profile Qualifications:

  • Part qualification in a Bachelor's degree in Business Management, preferably specializing in Finance or Accounting Management.
  • Chartered Financial Analyst certification is of advantage.

 

Work Experience:   

  • Experiences in a similar role in a luxury hotel / resort.

 

Skills Set:

  • Competent computing skills (e.g. Microsoft Office) with a sound knowledge in Opera.
  • Excellent interpersonal skills with personable character, a team player and good at cultivating strong guest relations.
  • Good command in spoken and written English.
  • Excellent complex problem-solving skills.
  • Strong organizational skills & detail-oriented.
