Job Title: Purchasing Officer

Position Overview

The Purchasing Officer assists the Purchasing Manager in the daily operations of the department. The individual provides administrative support by ensuring that all departmental documentations are filed and safeguarded according to the procedures and policies of the resort.

The Role

  • Assists the Purchasing Manager by providing administrative support, which includes but not limited to; answering phone calls, emails, analyses records of the resort's expenditure.
  • Coordinate with all departments to facilitate timely placement of purchase orders to manage inventory requirements.
  • Ensures that all purchase order requests are approved before creating the purchase order.
  • Ensures that all items received by the resort are properly documented in accordance to the purchasing and receiving procedures.
  • Administer purchasing agreements and contracts with suppliers in support of the Resort's quality and standard requirements.
  • Assist the Purchasing Manager in the filing of all Purchase Orders and other documentation. Maintain a log of all purchase orders issued.
  • Assist in generating monthly expenditure, and forecasted budget reports for the Purchasing Manager.
  • Assist in maintaining par stocks on all inventoried items, keeping in mind that inventory levels must be kept as low as possible without compromising the efficiency of the resort.
  • Participate as necessary in all month-end or quarterly inventories of food, beverage, operating equipment and supplies.
  • Contribute by providing suggestions for improvement of purchasing processes to meet the changing needs and market conditions.
  • Implement department project initiatives to ensure continuous improvement and upscaling of both department operations and team members' performance.
  • Drive high quality and consistency in standards to achieve mission, vision and goals set by the Resort.
  • Maintain strict compliance to all departmental policies, work place safety and security procedures set by the resort.
  • Ensures that working area is kept organised and clean at all times.
  • Report any issue or damages and breakdowns within working areas and the resort to ensure a defect-free facilities and service amenities provided.
  • Maintain strong working relationships with other departments to ensure effective communications for operational issues, serves as a role model for inter-departmental collaboration and support.
  • Maintain an up-to-date knowledge of the resort daily services, activities, promotion, and event.
  • Perform other duties or responsibilities that are reasonable as assigned by your immediate supervisor or manager.

Talent Profile Qualifications:

  • Part qualification in a Bachelor's degree in Business Management preferably specializing in Supply and Logistics Management.
  • Chartered Financial Analyst certification is of advantage.

Work Experience:

  • Minimum two (2) years of experiences in similar role in a luxury hotel / resort.

Skills Set:

  • Competent computing skills (e.g. Microsoft Office) with a sound knowledge in procurement systems.
  • Excellent interpersonal skills with personable character, a team- player and good at cultivating strong guest relations.
  • Good command of spoken and written English.
  • Excellent complex problem-solving skills.
  • Strong organizational skills & detail oriented.
