Position Overview

The Events Manager is responsible for planning, managing, organising promotional and social events for the Resort and ensuring deadlines and budgets are adhered to. The individual directs coordination of activities to prepare for the day of the event as events play a huge part in the success of the brand and resort.

The Role

  • Provides inspirational leadership, clear vision and direction to colleagues to ensure delivery of the Patina brand, values and vision, to create an amazing experience for our guests and colleagues.
  • Manage colleagues responsible for event coordination activities.
  • Coordinate details of events such as destination dining, weddings, birthdays, anniversaries, festive events, new year party, surprise parties, business meetings, colleague appreciation, annual events, etc.
  • Hire, train, and educate colleague on proper event procedures.
  • Calculate and propose budgets for events, submit for approval and then adjust when necessary.
  • Prepare invitations for guests and send out at appropriate time.
  • Work with guests of honour to ensure all requests are met.
  • Source and liaise with suppliers for the event, negotiate prices then hire, manage and coordinate suppliers and all event logistics.
  • Liaise with the sales and marketing teams to publicise and promote the event using flyers, cold calling, and social media as examples of ways to spark attention.
  • Manage all pre-event planning with respective departments involved.
  • Manage colleagues involved in the event and give full briefings days prior to the event to ensure colleagues are adequately prepared for the event.
  • Plan the event food menus with Director of Culinary / Executive Sous Chef and food & beverage set-up with the Director of Food & Beverage.
  • Sample food that will be served during the event, including main dishes and desserts.
  • Give final approval for items such as music and menus.
  • Ensure that legal, health and safety obligations are followed when organizing an event.
  • Oversee the dismantling and removal of the event and clear the venue efficiently in a timely manner.
  • Produce and hold a post-event evaluation after each event is completed with the departments involved in order to keep enhancing and improving future events in the resort.
  • Define company brand through events.
  • Pay vendors/suppliers for their participation in the event and provide receipts if needed.
  • Maintains strong working relationships with other departments to ensure effective communications for operational issues, serves as a role model for inter-departmental collaboration and support
  • Empower colleagues to take ownership and responsibility in going beyond to exceed guest expectations. Delegate responsibility and expect accountability and regular feedback.
  • Monitor performance of colleagues and provide effective feedback for improvements, recognition and performance appraisal as due.
  • Mentor and guide individual colleagues' growth and identify short to long-term goals to achieve and ensure high colleague engagement and welfare.
  • Take ownership of individual's growth and be involved in career progression and succession planning of colleagues.
  • Perform other duties or responsibilities that are reasonable as assigned by your immediate supervisor or manager.

Talent Profile:

  • Diploma or Degree, preferably in Hospitality Management / Events Management.
  • Minimum five (5) years of experience with at least two (2) years' experience in a similar role in luxury resort / hotel.
  • Good command in written and spoken English.
  • Service-oriented with strong interpersonal and communication skills.
  • Creative personality with an excellent eye for details.
  • Ability to multi-task while displaying great organizational skills.
  • Ability to negotiate when looking for the best price from suppliers and contractors.
  • Time-management skills and the ability to work under pressure to ensure the efficient running of an event.
